This notice explains how Everlucent Vault LLC collects, uses, shares, and protects personal data when you visit everlucentvault.com or purchase and complete our continuing education activities.

1. Who we are (data controller)

Everlucent Vault LLC ("Everlucent Vault", "we", "us") is the data controller for personal data processed through this website and our continuing education courses. You can reach us at support@everlucentvault.com.

2. Categories of personal data we collect

  • Account data: name, email address, and password credentials managed by our authentication provider.
  • Professional data: credentials (e.g. NP, MD, PA), license or NPI number where you provide it, and practice setting — used for CE certificates and accreditation reporting.
  • Transaction data: purchase records, order identifiers, amount, tax location, and payment status. We do not receive or store full card numbers.
  • Course activity data: module progress, pre-test and post-test answers and scores, evaluation responses, and certificate issuance records.
  • Technical data: IP address, browser and device information, and usage logs collected when you use the site.
  • Correspondence: messages you send to our support address.

3. How we use personal data

  • To provide access to purchased courses and the clinical toolkit.
  • To process payments, taxes, refunds, and receipts.
  • To score assessments, issue CE certificates, and maintain participant records and aggregate evaluation summaries required by our accreditor (AANP).
  • To provide customer support and respond to inquiries.
  • To secure the service, prevent fraud, and meet legal and record-keeping duties.
  • To send service messages and, where permitted, course updates you can opt out of.

Legal bases where GDPR/UK GDPR applies: performance of a contract, legitimate interests (security, service improvement), consent (marketing email), and legal obligation (accreditation and financial records).

4. Who we share personal data with

  • Paddle.com Market Ltd ("Paddle") — our Merchant of Record and payment processor. Paddle is a recipient of your name, email, billing address/country, and transaction details, and acts as an independent controller for payment, tax, fraud prevention, and invoicing purposes.   • Hosting, database, and authentication providers — process account, progress, and purchase records on our behalf.
  • Email delivery providers — send transactional messages such as receipts and certificate notifications.
  • American Association of Nurse Practitioners (AANP) — receives participant rosters, contact-hour records, and aggregate evaluation data required for accredited CE reporting.
  • Legal and professional advisors, or authorities — where required by law.

We do not sell personal data and we do not share it for cross-context behavioral advertising.

5. International transfers

We are based in the United States, and our providers may process data in the United States and other countries. Where required, transfers rely on Standard Contractual Clauses or another lawful transfer mechanism.

6. Retention

Account and course activity data are retained while your account is active. CE completion records, certificates, and evaluation data are retained for at least six years to satisfy accreditation requirements. Transaction records are retained as required by tax law.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal data, to object to processing, and to withdraw consent. California residents may also request disclosure of data practices and are protected from discrimination for exercising their rights. Email support@everlucentvault.com and we will respond within the time required by applicable law. EU/UK users may also lodge a complaint with their supervisory authority.

8. Cookies and similar technologies

We use cookies and local storage that are strictly necessary to keep you signed in, remember course progress, and secure checkout. Payment pages may set cookies controlled by Paddle.

9. Security and children

We use encryption in transit, access controls, and row-level database security to protect personal data. No method of transmission is completely secure. Our courses are intended for licensed healthcare professionals; the service is not directed to children under 16 and we do not knowingly collect their data.
